EPISTUM as part of iVote LLC values its users’ privacy. We ensure that your Personal Data is processed in accordance with the applicable laws. This Privacy Policy explains how we collect and use personal data generated on this site. This policy applies to all our domains and subdomains. Please note that this Policy applies for our web site https://epistum.com/  and not govern the collection and use of information by companies that iVote llc does not control, nor by individuals not employed or managed by us. The controller of the personal data is Ivote llc with headquarters in Washington, Prague  and Skopje. Personal data is processed in accordance with the provisions of the Law on Protection of Personal Data.

It is always up to you whether to disclose personally identifiable information to us, although if you elect not to do so, we reserve the right not to register you as a user or provide you with any products or services. This website collects various types of information including:

  • Information provided when: requesting a demo, free trial, newsletter subscription, job application and contact form such as:
      • Name
      • Last name
      • Email
      • Company name
      • Country
      • Phone number
  • Information automatically collected when visiting our website, which may include cookies, third-party tracking technologies and server logs.
  • Other Personal Information, in instances when you contact us by phone or mail in the context of receiving help or other support channels; participation in customer surveys.

In addition, Epistum may have the occasion to collect non-personal anonymous demographic information as well as the type of browser you are using, IP address, or type of operating system, which will assist us in providing and maintaining superior quality service.

 

For which purpose do we use your Personal Data?

 

We are collecting your data for several reasons:

  • To provide you with unique experience of our LMS through demo access and free trial;
  • To better understand your needs and provide you with the services you have requested;
  • To fulfill our legitimate interest in improving our services and products;
  • To provide you with the answers that you are missing to deliver superb service;
  • To send you promotional emails containing information we think you may like when we have your consent to do so;
  • To contact you to fill out surveys or participate in other types of market research, when we have your consent to do so;
  • To customize our website according to your online behavior and personal preferences.

Personal data will be kept in a form that allows identification of the subject of the personal data, no longer than is necessary to fulfill the purposes for which the data was collected for further processing, after which it will be deleted and destroyed.

Process the required personal data

 

Epistum as part of iVote llc does not now, nor will it in the future, sell, rent or lease any of its customer lists and/or names to any third parties. We collect, process and store only the Personal Data acquired to meet the already established purposes. Additionally, it may be decided by law which data we are required to collect and store to run our business. The type and extent of the Personal Data we process may also be required to fulfil a contract or other legal obligation. We want to ensure that we process only the Personal Data necessary for each of our specific purposes. Therefore, our IT systems collect only the Personal Data necessary by default. It is also automatically ensured that the amount of processing is not unnecessarily large and the storage time is not too extensive.  To protect you from unauthorized persons accessing your Personal Data, we use IT solutions that automatically ensure that your data are only available to the relevant employees. There is furthermore embedded protection against an unlimited number of persons receiving access to your data. To detect, prevent and address fraud, unauthorized use of the Service, violations of our terms or policies, or other harmful or illegal activity, or to protect ourselves or our users we will investigate the service user history of any of our users upon receiving a credible complaint concerning the use of the Service of that user, or if we otherwise become aware of any abuse of the Service by that user.

 

How long we keep the collected data

 

The data we collect from you will be stored for no longer than necessary. The length of time we retain said information will be determined based upon the following criteria: the length of time your personal information remains relevant; the length of time it is reasonable to keep records to demonstrate that we have fulfilled our duties and obligations; any limitation periods within which claims might be made; any retention periods prescribed by law or recommended by regulators, professional bodies or associations; the type of contract we have with you, the existence of your consent, and our legitimate interest in keeping such information as stated in this Policy. We delete your Personal Data, when they are no longer necessary to meet the purpose for which we gathered, processed and stored it. The data that we collect is stored in accordance with the law and the period required to achieve the purpose of the processing.

At your request, we will disclose what data we process about you. Access may, however, be limited for the protection of other persons’ privacy, trade secrets and intellectual property rights.

If you believe that the Personal Data we treat about you are inaccurate, you are entitled to have them corrected, or if you believe your Personal Data are no longer necessary for the purpose for which we obtained them, you may want to have them deleted. Children under the age of 18

 

We recommend that all parents and guardians teach their children about safe and responsible handling of Personal Data on the Internet . Minors under the age of eighteen (18) should not provide personal information without  permission of their parents or guardians. If it is determined that such information has been inadvertently collected on anyone under the age of eighteen (18), we shall immediately take the necessary steps to ensure that such information is deleted from database,  or in the alternative, that verifiable parental consent is obtained for the use and storage of such information.

Our precautionary measures are revised on a regular basis in order for us to meet the legislative requirements for a suitable data security system.

This is all done to prevent any loss, misuse, unauthorized access, disclosure or modification of the user’s personal information under our control. We use the HTTPS security protocol when processing and transmitting information to our servers.

We use Secure Socket Layer (SSL) for authentication and private communications to build users’ trust and confidence in the internet and website use by providing simple and secure access and communication of personal information.

However, we cannot guarantee that the data are completely protected against individuals who want to and succeed in breaking our precautionary measures and gain access to transfer information on the Internet, e.g. via e-mail. In case of a security breach that results in high risks of discrimination, theft, financial loss, loss of reputation or other significant inconvenience, we will notify you of the security breach without undue delay.
